Synergos MD, Inc. (“Synergos MD,” “we,” “us,” or “our”) operates an appointment coordination and practice-operations platform provided to medical and wellness practices (“Practices”). This Privacy Policy explains how we collect, use, share, and protect information in connection with our website at synergosmd.com and our platform and related services (collectively, the “Services”).
By using the Services or submitting information through a Practice that uses our Services, you agree to the practices described in this Policy.
1. Who this Policy covers
- Practices are our direct customers who use the platform to run their patient acquisition, scheduling, and operations.
- Patients and prospective patientsare individuals who submit contact or consultation requests through a Practice’s website and may be contacted by our AI phone agent and messaging system on the Practice’s behalf.
This Policy describes our own data practices. Each Practice is independently responsible for its own privacy practices and for any protected health information it collects and maintains.
2. Information we collect
Information you provide.When you submit a consultation request or contact form on a Practice’s website, we collect the information you provide, which may include your name, phone number, email address, general service interest (for example, the type of consultation you are requesting), and any message you include.
Communications data. When our AI phone agent contacts you to schedule a consultation, we may collect and store call recordings, transcripts, and summaries, as well as appointment details such as date, time, and status.
Messaging data. If you receive SMS messages from us, we process your phone number and message delivery information to send appointment confirmations and reminders.
Usage and device data. We may collect standard technical information such as IP address, browser type, device information, and interactions with our website, including through cookies and similar technologies.
3. How we use information
We use information to:
- Provide the Services, including contacting you to schedule, confirm, and remind you of consultations you request;
- Send transactional SMS appointment confirmations and reminders related to appointments you book;
- Operate, maintain, secure, and improve the Services;
- Communicate with Practices about their accounts and the Services;
- Comply with legal obligations and enforce our terms.
We do not sell your personal information, and we do not use your information for third-party marketing.
4. SMS / text messaging program
By providing your mobile phone number through a Practice’s consultation request form, you consent to receive transactional SMS messages from Synergos MD on behalf of the Practice, including appointment confirmations and reminders related to the appointment you request or book.
- Message types: Appointment confirmations and reminders. These are transactional messages, not marketing or promotional messages.
- Message frequency: Message frequency varies based on your appointment activity.
- Cost: Message and data rates may apply.
- Opt out: You may opt out at any time by replying STOP to any message. After you opt out, you will receive a confirmation message and no further messages, unless you reply START to resubscribe.
- Help: Reply HELP for assistance, or contact us at support@synergosmd.com.
- Carriers: Mobile carriers are not liable for delayed or undelivered messages.
No sharing of opt-in data for marketing. No mobile information or SMS opt-in consent will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties except service providers acting on our behalf to help operate the messaging program (for example, our messaging infrastructure provider), and only as needed to deliver the messages you have requested.
5. How we share information
We share information only as follows:
- With the Practice you contacted, so it can schedule and provide your consultation.
- With service providers (subprocessors) who perform functions on our behalf — such as messaging and telephony infrastructure, cloud hosting, and database services — under contractual confidentiality and data-protection obligations, and only to provide the Services.
- For legal reasons, when required by law or to protect rights, safety, and the integrity of the Services.
- In a business transfer, such as a merger, acquisition, or sale of assets, subject to this Policy.
We do not sell personal information and do not share it for third-party marketing.
6. Data retention
We retain information for as long as necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary based on the type of data and the purpose for which it was collected.

We use administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices and rights

9. Healthcare information
Synergos MD provides technology services to Practices. Practices are responsible for their own compliance with applicable healthcare privacy laws with respect to protected health information they collect and maintain. Where we handle information on a Practice’s behalf, we do so in accordance with our agreements with that Practice.
10. Children’s privacy
The Services are not directed to children under 18, and we do not knowingly collect personal information from children.
11. Changes to this Policy
We may update this Policy from time to time. We will update the “Last updated” date above when we do. Continued use of the Services after changes become effective constitutes acceptance of the updated Policy.
